NOTICE OF 2025 AGM

The 2025 Annual General Meeting will be held on

Wednesday, October 15th, 2025 @ 6:30 pm

 

In preparation for the upcoming AGM the Board of Directors wish to inform the membership that the 2025 AGM will be hosted in a hybrid in-person/virtual capacity utilizing both video conference and web-based voting technology. 

 

As a result, the HFHC Board of Directors is providing a series of advance notices to membership beginning with this communication outlining a calendar timeframe for the submission of information and documentation ahead of the 2025 AGM:

 

AGM Date: Wednesday, October 15, 2025 at 6:30 PM

Location for in-person attendees: Tansley Woods Community Centre, Burlington


Submission deadline for Board of Directors Nomination Form: September 8 – October 5, 2025

Submission deadline for 2025 AGM Registration Form: September 8 – October 10, 2025

Submission deadline for 2025 AGM Proxy Form: September 8 – October 10, 2025

The timeline above recognizes the level of complexity required when considering a virtually hosted AGM and in particular sets realistic submission deadlines designed to enable the HFHC Board of Directors to pre-load election, motion, and voting detail into the supporting technology. Once such detail has been pre-loaded sufficient time remains for the HFHC Board to communicate with members (most specifically voting members) as to how such technology will be utilized both in advance of and at the 2025 AGM. 

 

The HFHC Board of Directors intends to provide three similar AGM updates before October 10, 2025. Each 2025 AGM update is intended to provide guidance as to due process ahead of pertinent calendar deadlines. 

 

The first AGM notices provides the opportunity to introduce due process for nominations to the HFHC Board of Directors:

The following nine (9) HFHC Board of Director positions are up for election in 2025: 

 

  • Chair (President) 3-year term (1 position)

  • Club Treasurer 2-year term (1 position)

  • Club Secretary 2-year term (1 position)

  • Director of Youth Programs (Coed U10/U14 House League) 2-year term (1 position)

  • Director of Junior Programs (Girls U16/U18  House League) 2-year term (1 position)

  • *NEW FOR 2025* Director of Senior Competitive Programs term TBD (1 position)

  • Director-at-Large 2-year term (1 position)

  • Director-at-Large 2-year term (1 position)

  • Director-at-Large 1-year term (1 position)

 

The HFHC Board of Directors have posted the terms of reference for each position above and the applicable Board Nomination Form under the 2025 AGM section on the HFHC website: www.haltonfieldhockey.com/agm. To nominate an individual for any of the Board of Director positions above, please complete a Board Nomination Form by October 5, 2025.
